I just finished another interview today 🎉 and once again, the same classic question showed up (the one I’ve been asked in almost every interview I’ve ever had):
❓ “What if a client calls last-minute asking for a meeting, but your CEO is fully booked?”
And trust me this isn’t just a question about schedules. It’s a test of how you think, communicate, and handle pressure as an VA.
Here’s how to approach it like a pro 👇
DO’s:
Stay calm and professional, never panic.
Thank the client and acknowledge their urgency.
Offer clear solutions:
• Suggest the next available slot in the CEO’s calendar.
• Propose an alternative, like meeting with an Operations Manager or Senior Associate.
• Ask them to share details by email so the CEO is prepped when available.
Always protect your CEO’s time while keeping the client valued.
DON’Ts:
Don’t ever say: “The CEO has no time.” That sounds cold and dismissive.
Don’t delay your response quick communication shows respect.
Don’t commit to a meeting without double-checking the schedule.
✨ Sample Answer (Interview-Ready):
“If a client calls last-minute but my CEO is fully booked, I would acknowledge the urgency, thank them for reaching out, and explain that the CEO’s schedule is packed at the moment. I’d then suggest the next available slot or offer an alternative such as meeting with another decision-maker on the team. This way, the client feels valued, but my CEO’s time remains protected.”
💡 Strategy Hack: As an VA, your true role is to balance access with protection. You’re not just a scheduler you’re a gatekeeper who ensures the CEO’s priorities are respected, while every client still feels heard and important.
I’ve faced this question multiple times across different interviews, and my tip is this: research the company beforehand. If you understand their structure and decision-makers, it’s much easier to redirect confidently without sounding like you’re shutting the client out.
